Book appointments on Google Calendar

Let an agent offer free times from your Google Calendar and book the one a customer picks, with their details.

A clinic, salon or coaching centre answers "when are you free?" all day. With appointments on, the agent checks your Google Calendar, offers a few free times, and books the one the customer picks.

You need the Owner, Admin or Builder role.

Set it up

  1. Connect Google Calendar in Integrations.
  2. Open the agent's Build tab and find Appointments.
  3. Turn on Book appointments on Google Calendar, then choose:
    • Google account and Calendar: the calendar appointments go on. Only calendars the account owns are listed.
    • From and Until: your appointment hours, India time.
    • Each appointment: how long one lasts, from 15 minutes to 2 hours.
    • Days: the days you take appointments.
    • Book up to: how far ahead, from 7 to 60 days.
    • Earliest: the least notice you need, such as 2 hours from now.
    • Gap after each: free time kept after every appointment.
    • Add a Google Meet link: for calls. Each booking gets a Meet link, sent with the calendar invite, and the agent gives it to the customer.
    • Booking: whether bookings go straight onto the calendar (the default), wait for your approval, or wait and then go after a set time.
  4. Select Publish agent.

What the customer sees

The agent offers a few free times, spread over the next days, or times on the day the customer asks for. It asks for their name and a phone number or email, then books. A customer who gives an email address gets a Google Calendar invite.

Just before booking, the agent checks the time is still free. If someone took it a minute ago, it offers another time.

Once a time is booked, the agent remembers it for the rest of the conversation. It answers the customer's next questions ("What should I bring?") as usual, and offers free times again only if they ask to book another appointment or to change the one they have.

Your share link can start with booking. Set Start with to Book a call first, and customers see Book a call and Ask a question under the greeting. Book a call starts the chat with "I'd like to book a call.", and the agent offers free times as above.

The setting is offered once the agent is published with Book an appointment on and a connected Google Calendar picked under Appointments. See Book a call first.

Copy the link tagged for where you put it, such as LinkedIn Featured, and each booking says where it came from. See Tag the link for where you put it.

What goes on your calendar

An event at the chosen time, titled with the customer's name and the reason, and in its description:

  • that an AI assistant booked it through Dhanur AI
  • the customer's name, phone and email
  • where the chat came from, when it started from a tagged chat link: "Booked through your chat link, from LinkedIn Featured."
  • a link to the conversation in Tasks

On the Calendar page, a booking from a tagged link shows the place too, such as "from LinkedIn Featured".

Reminders before the call

When the agent books a call for a lead with an email address, it emails them a reminder before it: the time in India time and the Google Meet link, if the booking has one.

Set it under Build → Emails to leads and reminders:

  • Remind them before a booked call: on by default.
  • How long before: 3 hours by default, up to 48.
  • Before it goes: Sends on its own (the default, since it only confirms what they booked) or Ask first, when it waits in Tasks for your OK.

A call booked closer than that gets no reminder, and a reminder is never sent twice. It goes from your connected Gmail, or the agent's own email address, and needs the agent's Email on. The lead page shows where each reminder stands, and so does the Calendar page, next to the booking.

Cancelled calls and no-shows

  • Cancelled. If the event is deleted from your Google Calendar, or the lead declines the invitation, the lead moves from Call booked back to Qualified, and no reminder goes. It's noticed within about half an hour. If they cancel by phone, open the lead and select They cancelled under Next step.
  • No-show. Once the call's time has come, select No-show on the lead. It goes back to Qualified, and the AI drafts a short, kind message offering another time, with a few free times from your calendar. It waits for your OK like any next step.

Good to know

  • Test chats never book. In the Test tab the agent reads your real free times, but a booking is only pretend.
  • It never says "you're booked" unless it is. If the agent tells a customer an appointment is booked without booking it, Dhanur AI sends it back to book the time they picked. If it still can't, the customer is told plainly that your team will confirm the time. Mentioning a booking it already made in the same conversation ("you're all set for Tuesday") is fine, unless the customer has just asked for a new or changed time.
  • The agent only sees when you are free or busy, never what your other events are.
  • Each booking is a step on the task, and shows in Tasks if it waits for approval.
