Send a meeting notetaker

Paste a Google Meet, Zoom, Teams or Webex link, and an AI notetaker joins, records and your agent writes the notes.

Paste a meeting link to an agent in Team chat or Slack: "Join https://meet.google.com/abc-defg-hij and take notes." An AI notetaker joins, records, and about 10 minutes after the meeting ends, the agent writes the notes back in the same conversation:

  • a two-line summary
  • the decisions
  • action items: who, what and by when
  • open questions

Because the notes are written by your agent, it can also do what you asked when you sent it, with its tools and your approval settings. For example: "save anyone interested as a lead", or "email the action items to the team".

You need the Owner, Admin or Builder role to switch it on.

Set it up

  1. Open the agent's Build tab and find Tools.
  2. Turn on Send a meeting notetaker.
  3. Publish the agent.

Sending one

  • Now: paste the link.
  • Later: paste the link with the start time, for example "Join https://zoom.us/j/123 at 3:30 pm on 2 October". Book at least 12 minutes ahead and the notetaker is sure to join on time.
  • Stop it: tell the agent "stop the notetaker". Notes are still written from what it recorded.

The notetaker joins as "(your agent's name) (AI notetaker, recording)" and says in the meeting chat, as it joins, that it is an AI recording the meeting for your business, and how to have it removed. Let the people in the meeting know you are sending it. Anyone can ask the host to remove it.

Meetings with a lead

If the meeting is with one of your leads, the notes also reach the lead. Dhanur AI finds the lead when:

  • the meeting link came from a call the agent booked for that lead (the Google Meet link on the booking); or
  • the lead's email is among the people in the meeting, when the meeting service shares their emails.

The meeting is then added to the lead's history, and checked against the agent's criteria and the lead's need, budget and timeline. What it finds waits in the lead under From meetings, as suggestions you accept or reject one by one. Nothing on the lead changes until you accept.

  • Only what was said counts. A quote is kept only if it's word for word in the transcript.
  • Whose words. When the transcript names the speakers, only the lead's own words count. When it doesn't, the whole meeting counts and the suggestion says so ("from the meeting on 2 Oct").
  • Cost. The check is a small model call, charged like any other and counted in the lead's cost.

The consent rules above don't change: the notetaker still announces itself and records only what the meeting allows.

When it can't join

The agent tells you why, and you aren't charged. For example:

  • nobody let it in from the waiting room within 10 minutes;
  • the meeting only lets in people from its own organisation;
  • the link was wrong or had expired.

Good to know

  • Only your team can send one: from Team chat, Slack or the run API, never from a customer chat.
  • Cost: charged by the time the notetaker spends joining and in the meeting, in credits, and shown on the task. See the prices.
  • Limits: at most 3 notetakers in meetings at once per workspace, and 3 hours in one meeting.
  • Languages: English, Hindi and a mix of both are transcribed.
  • What we keep: the transcript, with the task. The recording is deleted once the transcript is in, and the meeting link is stored encrypted.
  • Links only: it doesn't read your calendar to find meetings.
